Safety records an inspector can follow.
Small contractors face the same OSHA standards and the same penalty schedule as companies a hundred times their size — up to $16,550 per serious violation in 2026 — without a safety department to keep the records straight. CrewProof keeps them straight: toolbox talks, certification expirations, the OSHA 300 Log and 300A summary, inspections, and corrective actions, in one flat-rate system. No per-seat pricing.
Talks an inspector can follow, line by line.
Every talk is logged with its date, topic, crew lead and signed-in attendees — a talk nobody signed is a talk that didn’t happen.
| Date | Topic | Crew lead | Attendees |
|---|---|---|---|
| Oct 12 | Fall protection & harness inspection | J. Alvarez | 14 signed in |
| Oct 13 | Heat illness prevention | M. Okafor | 12 signed in |
| Oct 14 | Silica exposure controls | R. Doyle | 11 signed in |
| Oct 15 | Trenching & excavation safety | S. Patel | 13 signed in |
| Case | Classification | Learned | Logged |
|---|---|---|---|
| 2026-014 | Job transfer / restriction | Oct 2 | Day 3 of 7 |
| 2026-015 | Other recordable case | Oct 9 | Day 2 of 7 |
Why CrewProof
The clipboard in the job trailer is not a compliance system. When an inspector — or a general contractor prequalifying your company — asks for records, "mostly complete, mostly current" is where fines and lost bids start.
Flat rate, not per seat
Safety platforms charge $24 per user per month — a 40-person crew costs about $960 a month before anyone logs a single talk. CrewProof plans are priced per company, because crews rotate and headcount shouldn't be a pricing trap.
The 300 Log, done right
Recordable cases are classified the OSHA way, the 7-calendar-day logging deadline is tracked for every case, and the 300A summary and TRIR/DART rates compute themselves from the cases and hours you enter.
Expirations surface early
OSHA 30 cards, forklift certifications, first aid/CPR — every credential is tracked with expired and expiring-soon status, so a lapsed card shows up on your dashboard before it shows up on an inspector's clipboard.
Proof for the GC
Talk coverage reports show which workers haven't attended a talk in 30 days. Inspection failures become corrective actions with due dates. When prequalification asks, the records are already organized.
Plans from $29/mo
One crew starts on Crew. Growing companies step up to Company. Nobody pays per head.

More of what CrewProof does
Every case carries its own 7-day deadline.
OSHA requires a recordable case on the 300 Log within 7 calendar days of learning of it. CrewProof computes that deadline per case and flags late or overdue entries before an inspector does.
Toolbox talks
A built-in library of 10 talk outlines built from OSHA's 2026 enforcement priorities — fall protection, heat illness, silica, PPE fit, trenching, struck-by hazards. Log each talk with its date, jobsite, leader, and attendee list. Coverage reports flag every worker who hasn't attended a talk in the window you set.
Certification tracking
Record every worker's OSHA 10/30 card, equipment certifications, first aid/CPR, and licenses with issue and expiry dates. Status computes live: current, expiring within 30 days, or expired. Plan caps keep rosters honest, not padded.
How it works
OSHA 300 / 300A / 301 records
Every incident is classified the OSHA way — death, days away, job transfer or restriction, other recordable, or first aid only — with day counts tracked per case. OSHA requires recordable cases on the 300 Log within 7 calendar days of learning of them; CrewProof computes that deadline per case and flags late or overdue entries. The 300 Log exports as CSV for any year.
TRIR & DART rates
Enter total hours worked and CrewProof computes your Total Recordable Incident Rate and DART rate using OSHA's published formula (cases × 200,000 ÷ hours) — the same numbers GCs ask for in prequalification and insurers ask for at renewal.
Inspections & corrective actions
Five built-in checklist templates — daily site walk, fall protection, scaffold, excavation, powered equipment pre-use. Failed items are returned the moment an inspection is submitted and can be turned into corrective actions with owners' due dates. Overdue actions surface on the status dashboard until they're closed.
What you get
Compliance status dashboard
One view shows what needs attention today: expired and expiring certifications, talks logged this week, log entries past their 7-day deadline, overdue corrective actions, this year's 300A counts and rates, and whether you're inside the Feb 1 – Apr 30 window for posting last year's 300A summary.
API-first, exportable
Every record is available through the REST API with per-company keys, and the 300 Log exports to CSV anytime. Your records are your records — no lock-in by design.
Honest scope
CrewProof is recordkeeping software, not a safety consultant and not legal advice. A competent person still has to walk the site, deliver the talks, and make borderline recordability calls. We keep the proof; your crew does the safety.
The details
1. Register your company
Subscribe to a plan, and we provision your company and issue its API key. Open the dashboard, enter the company ID and key once, and the browser will load your live records. Only a hash of the key is stored on the server — keep the key somewhere safe.
2. Add your crew
Add each worker's name and role from the Roster page (or POST to the workers endpoint). Plan caps are enforced by the API, so your roster always matches your plan.
3. Record certifications
Add each worker's OSHA cards, equipment certifications, and first aid/CPR with issue and expiry dates. Status — current, expiring, expired — computes automatically from there.
Going further
4. Log this week's talk
Pick a topic from the built-in library (or your own title), add the date, jobsite, leader, and attendee list. The coverage report immediately shows who still needs a talk.
5. Check your status
The dashboard Overview is your morning check: expired certs, overdue corrective actions, log entries nearing the 7-day OSHA deadline, this year's 300A counts, and your TRIR/DART rates once hours are entered.
